Terms and Conditions of Entry
By purchasing a ticket and/or attending W7s26 (“the Event”), you agree to comply with these Terms and Conditions of Entry. These terms are in place to ensure the safety, security, and enjoyment of all attendees.
- Event Information
Woody's 7s is run by Woodland Sports Group Ltd, who are registered in England and Wales under company number 13496043. Our registered office is 27 Old Gloucester Street, London, WC1N 3AX. For the sake of ease we will refer to ourselves as Woody's 7s or W7s in all documents, including our terms and conditions below.
- Tickets & Admission
- Tickets are valid only for the date(s) specified.
- Wristbands must be presented on entry and may be checked at any time.
- The Organiser reserves the right to refuse admission or eject any person who breaches these Terms and Conditions.
- Lost, stolen, or damaged tickets may not be replaced and will require repurchasing.
- Re-entry is permitted.
- Age Restrictions
- Under 18s must be accompanied by a responsible adult unless otherwise stated.
- Valid photographic ID may be required as proof of age.
- Alcohol will only be served to those aged 18 or over in accordance with licensing laws.
- Searches & Security
- For safety and security reasons, all persons, bags, and vehicles are subject to search as a condition of entry.
- Refusal to be searched will result in refusal of entry without refund.
- Security measures are in place in line with Martyn’s Law (Protect Duty).
- CCTV and body-worn cameras may be in operation.
- Prohibited Items
The following items are not permitted at the Event:
- Camping gas canisters or barbecues - This includes electrical barbecues and heaters
- Weapons, fireworks, flares, smoke bombs, or explosives
- Illegal substances
- Glass containers (unless purchased on-site)
- Generators
- Drones or unmanned aerial devices
- Offensive weapons or items deemed dangerous
- Laser pens, megaphones, or air horns
- Any animals (with the exception of assistance dogs) are not permitted on site.
Any prohibited items will be confiscated and may not be returned.
- Behaviour & Conduct
- Attendees must behave in a safe and respectful manner at all times.
- Aggressive, threatening, discriminatory, or anti-social behaviour will not be tolerated.
- Anyone deemed to be intoxicated or under the influence of drugs may be refused entry or removed.
- Climbing on structures, entering restricted areas, or interfering with event operations is prohibited.
- Rugby Matches & Live Music Disclaimer
- Attendance at live sporting and music events involves inherent risks.
- The Organiser accepts no liability for injury resulting from normal and reasonable enjoyment of the Event, except where caused by negligence.
- Attendees must follow instructions from stewards, officials, and safety staff at all times.
- Medical & Welfare
- On-site medical and welfare facilities are provided.
- Attendees with medical conditions should notify a steward if assistance is required.
- The Organiser reserves the right to provide first aid or medical treatment in an emergency.
- Photography, Filming & Media
- The Event may be filmed, photographed, or recorded.
- By attending, you consent to your image or likeness being used for promotional, broadcast, or security purposes without compensation.
- Personal photography is permitted for private use only.
- Weather & Programme Changes
- The Event will take place in all reasonable weather conditions.
- Performers, match schedules, and timings may change without notice.
- Tickets are non-refundable due to adverse weather unless the Event is cancelled.
- Cancellations & Force Majeure
- The Organiser reserves the right to cancel, delay, or curtail the Event due to circumstances beyond its control, including severe weather, public safety concerns, or acts of terrorism.
- In such circumstances, refunds will be at the Organiser’s discretion.
- Liability
- Attendance is at the attendee’s own risk.
- The Organiser shall not be liable for loss, theft, or damage to personal property.
- Nothing in these Terms excludes liability for death or personal injury caused by negligence.
- Equality, Accessibility & Safeguarding
- The Event is committed to equality, diversity, and inclusion.
- Reasonable adjustments will be made for accessibility requirements.
- Safeguarding concerns should be reported to event staff immediately.
- Data Protection
- Personal data will be processed in accordance with UK GDPR and the Organiser’s Privacy Policy.
- Security-related data (e.g. CCTV) is used solely for safety and crime prevention.
- Camping Terms & Conditions
- Camping is permitted only in designated camping areas.
- Attendees must comply with instructions from camping stewards and security staff at all times.
- Open fires, fire pits, BBQs, solid fuel stoves, fireworks, flares, and Chinese lanterns are strictly prohibited.
- Excessive noise, anti-social behaviour, or disorderly conduct will not be tolerated, particularly during night-time quiet hours.
- Generators and amplified sound systems are not permitted.
- The Organiser reserves the right to remove any person from the campsite who breaches these conditions.
- Personal property is brought to the campsite at the owner’s risk.
- It is the responsibility of the tour leader to make sure that there are clear access points and clear walkways within the marked-out area for each side or club
- It is the responsibility of the tour leader to make sure that there are spacing between tents, making sure that there is enough room for clear walkways
- It is the responsibility of the tour leader to make sure that their tour side follows the waste management, making sure that all rubbish is removed from your camping area and placed in the correct location/disposal areas
- It is the responsibility of the tour leader to make sure that they are aware of the location of tents, making sure all of their touring party know where the responsible adults can be found
- South Derbyshire Licensing Authority – Local Licence Conditions
This Event operates under premises and/or temporary event licences issued by South Derbyshire District Council. All attendees must comply with licence conditions, including but not limited to:
- Alcohol may only be consumed in authorised areas.
- Alcohol must not be taken into or out of the licensed area.
- The sale of alcohol is restricted to permitted hours only.
- Anyone found to be intoxicated, causing disorder, or breaching licence conditions may be refused service and/or removed.
- Entry and exit arrangements must be adhered to at all times.
Failure to comply with licence conditions may result in removal from the Event without refund.
- Alcohol Licensing Conditions
In accordance with the Licensing Act 2003:
- Alcohol will only be sold to persons aged 18 or over.
- A Challenge 25 policy is in operation – valid photographic ID may be required.
- It is an offence to buy or attempt to buy alcohol for someone under 18.
- Drunken, violent, or anti-social behaviour will not be tolerated.
- The Organiser and bar operators reserve the right to refuse alcohol service at their discretion.
- Governing Law
- These Terms and Conditions are governed by the laws of England and Wales.
- Any disputes shall be subject to the exclusive jurisdiction of the English courts.
- Acceptance of Terms
By entering the Event site, you confirm that you have read, understood, and agree to these Terms and Conditions.
- Safeguarding
- The tour leader is responsible for the safeguarding of their touring party
- All touring sides are required to have received permission from their club/CB
- The RFU Checklist should have been completed prior to arrival
- Each touring team will be requested to provide a name and number for an overnight on-call supervisor, these can be different for each night.
- Risk assessments should have been completed as part of the tour leader’s requirements to tour.
