W7s27 U12s Barbarians Competition – Terms & Conditions

1. The Competition

The W7s27 U12s Barbarians Competition (“the Competition”) is organised by Woodland Sports Group Limited in connection with the W7s27 event (“W7s27”).

The Competition has been created to support and encourage the growth of U12s girls' rugby and to provide an opportunity for smaller, newly formed or developing sides, as well as individual players, to take part in W7s27.

By entering the Competition, entrants agree to be bound by these Terms and Conditions.


2. Eligibility

The Competition is open to U12s girls who meet one or more of the following criteria:

  • Are part of a girls' rugby side with 10 or fewer players; or
  • Are part of a newly formed side that is looking to grow and develop; or
  • Wish to enter as an individual player and become part of a W7s27 Barbarians side.

Individual players are welcome to enter the Competition. However, if an individual player is selected as a winner, permission from their club will be required before they can participate as part of the W7s27 Barbarians side.

Entrants must provide accurate information regarding the number of players available to attend W7s27.

The Organiser reserves the right to request further information to confirm eligibility.


3. How to Enter

To enter the Competition, entrants must:

  1. Create a short video explaining why they, or their team, should win the W7s27 U12s Barbarians Competition;
  2. Post the video on social media; and
  3. Tag the official W7s social media account(s) in the post so that the entry can be identified.

Entries may be submitted by:

  • An individual player;
  • A parent or guardian on behalf of an individual player;
  • A coach, team manager or other authorised representative on behalf of a side; or
  • A participating side.

Entrants are responsible for ensuring that their social media post is publicly visible, or otherwise visible to the Organiser, and that the appropriate W7s account has been correctly tagged.

The Organiser cannot accept responsibility for entries that cannot be viewed, identified or located due to incorrect tagging, privacy settings or technical issues.


4. Competition Closing Date

The Competition will close at 11:59pm on Sunday 25th October 2026.

Any entries submitted after this time may not be included in the Competition.

The Organiser reserves the right to amend the closing date if reasonably necessary. Any changes will be communicated through the official W7s social media channels.


5. The Prize Draw

Following the closing date, eligible entries will be included in the prize draw.

The winner or winners will be selected from eligible entries received before the Competition closing date.

Where a side with 10 or fewer players is drawn

If a side with 10 or fewer players is drawn, the Organiser will continue to draw additional eligible sides and/or individual players until a combined squad of 15 players has been reached.

The successful players and sides will then join together to form a W7s27 Barbarians side for the event.

Where a side with sufficient players is drawn

If a side drawn has 15 or more players available to attend W7s27, that side will be declared the sole winner of the Competition.

The Organiser may make reasonable decisions regarding the inclusion of individual players and the final composition of the Barbarians squad.

The Organiser's decision regarding the prize draw, eligibility and the formation of the Barbarians side will be final.


6. Individual Entries

Individual players may enter the Competition by submitting their own video explaining why they should be selected to take part in the W7s27 Barbarians experience.

If an individual player is selected as part of the winning Barbarians squad:

  • Permission from their current rugby club will be required;
  • The player and their parent or guardian must comply with all W7s27 requirements;
  • The player must be eligible to participate in the U12s age group; and
  • The Organiser may need to make alternative arrangements if club permission cannot be obtained.

If the necessary club permission cannot be obtained, the Organiser reserves the right to select an alternative eligible entrant.


7. The Prize

The winning side, sides and/or individual players selected to form the W7s27 Barbarians squad will receive entry to W7s27.

For each player entered into the winning squad, the prize includes:

  • 1 side entry
  • 1 player ticket
  • 1 spectator ticket
  • 1 vehicle pass

The number of tickets and vehicle passes provided will be based on the number of players entered as part of the final winning side or Barbarians squad.

Any additional player, spectator or vehicle tickets required must be purchased separately and will be subject to the applicable W7s27 Terms and Conditions and ticket prices.

The prize is non-transferable, cannot be exchanged for cash and cannot be transferred to another person without the Organiser's permission.


8. The Barbarians Experience

In true Barbarians tradition, successful players from different clubs and sides may come together to form a combined W7s27 Barbarians side.

The Barbarians side will be allocated a guest coach for the weekend.

The purpose of the Barbarians experience is to bring young players together from different teams, encourage new friendships and provide a fun, positive and inclusive rugby experience.

Players, parents, guardians and participating clubs acknowledge that players may be placed alongside players from other clubs and sides.


9. Design Your W7s27 Playing Shirt

The winners will also be invited to contribute to the design of the W7s27 Barbarians playing shirts.

Winning players and/or sides will have the opportunity to submit ideas and designs for the playing shirt.

The Organiser reserves the right to:

  • Adapt, amend or alter submitted designs;
  • Combine elements from multiple designs;
  • Use only selected elements of a submitted design; or
  • Create a final design incorporating ideas from the winning players.

The final design of the playing shirt will be determined by the Organiser.

Participation in the shirt design process does not guarantee that any individual design will be reproduced in full or used in the final shirt.


10. Participation in W7s27

All winners and participants must comply with:

  • The W7s27 Event Terms and Conditions;
  • Any applicable event rules and regulations;
  • Relevant rugby governing body rules and safeguarding requirements; and
  • Any reasonable instructions provided by the Organiser.

Parents, guardians and participating clubs remain responsible for ensuring that players are eligible and appropriately registered to participate in the event.


11. Withdrawal or Unavailability

If a winning side or player is unable to attend W7s27, the Organiser must be informed as soon as reasonably possible.

The Organiser reserves the right to make reasonable changes to the composition of the Barbarians side if players or sides withdraw.

Where necessary, the Organiser may invite or select additional eligible sides or individual players to ensure that the Barbarians squad has sufficient numbers.


12. Social Media and Video Entries

By entering the Competition, entrants agree that the Organiser may view, share, repost and use their competition entry video and associated social media content for the purposes of promoting the Competition and W7s27.

Where an entry includes children, the person submitting the entry is responsible for ensuring that they have the appropriate consent or permission to film and post the video on social media.

The Organiser reserves the right to remove or exclude any entry that is considered inappropriate, offensive, unsafe or inconsistent with the spirit of the Competition.


13. Changes to the Competition

The Organiser reserves the right to amend, suspend or cancel the Competition where reasonably necessary.

The Organiser also reserves the right to amend these Terms and Conditions or make reasonable decisions regarding matters not specifically covered by them.

Any significant changes will be communicated to entrants where reasonably practicable.


14. General

The Organiser's decision in relation to the Competition, eligibility, the prize draw and all other matters relating to the Competition will be final.

Entry into the Competition does not guarantee selection as a winner.

The Competition is subject to all applicable laws and regulations.

These Terms and Conditions should be read alongside the W7s27 Terms and Conditions, which will apply to participation in the event.
